About the Role

Keri Virtual Assistants is looking for a proactive, detail-oriented Virtual Assistant to support a queer-inclusive counseling and therapy practice.


This part-time role includes inbox and calendar management, client scheduling, administrative support, and personal assistant tasks that keep daily operations flowing.


We are especially seeking candidates who identify as LGBTQIA+ and are passionate about affirming, inclusive care. We value individuals who are like-minded, embrace queer culture, and are committed to supporting diverse communities.

Key Responsibilities

  • Inbox and Calendar Management – Manage emails in the admin inbox and forwarded/cc’d emails sent to the VA’s account. Schedule meetings via Google Meet or in-person after confirming time and location preferences with team members. Send reminders, handle follow-ups, and manage client session scheduling.


  • Client Intake & Scheduling – Collaborate with Office Manager to ensure intake paperwork is completed, update client records, and assist with scheduling and rescheduling as assigned.


  • Billing & Documentation Support – Track session payments, prepare simple invoices, and organize digital files securely. Ensure clinicians have signed notes prior to claim submission (evaluations are handled by clinical leads and the director; the VA confirms notes exist and are signed). Submit simple insurance claims and track submissions and payments in collaboration with the Office Manager.


  • Compliance Support – Monitor deadlines for reports, license renewals, and required paperwork, and flag upcoming requirements.


  • Client Communication – (If requested, not included at this time) Share updates, confirm appointments, and relay non-clinical information with professionalism and care.


  • General Admin Tasks – Perform data entry, organize files, update spreadsheets, and maintain accurate records. Submit payroll through Gusto by cross-referencing timesheets and ensuring staff have notes for each session listed.


  • Personal Assistant Support – Book reservations, coordinate errands, schedule doctor appointments, and assist with day-to-day personal tasks as requested.



What We Look For

  • 2+ years of experience in virtual assistance, administration, or operations

  • Strong attention to detail and ability to manage time-sensitive tasks

  • Proficient in Microsoft Office or Google Workspace, including Excel/Sheets for filtering, formulas, and data entry

  • Excellent written and verbal communication skills

  • Clear and proactive communication with internal teams and clients

  • Organized, self-motivated, and comfortable using tech tools

  • Comfortable starting part-time, with flexibility to expand based on client needs



Nice to Have

  • You’re familiar with Canva for creating simple static posts or light editing

  • You’ve supported professionals in counseling, therapy, or healthcare settings

  • You have experience managing confidential client records with sensitivity

  • You’re comfortable with scheduling software (e.g., Google Calendar, Calendly, etc.)

  • You bring warmth, empathy, and cultural competence when working with diverse communities

  • You have a passion for supporting the queer community and creating affirming spaces


Compensation

  • $4 - $5 per hour

  • $25 internet stipend
